Global Email Writing Tips 13 : Not too formal

Impersonal.  Cold.  Distancing.  These are some comments by people receiving ‘too formal’ emails.  So, consider using a less formal tone with:

  • appropriate people (e.g. same-level co-workers, frequent emailers, and subordinates)
  • appropriate situations (e.g. meeting confirmations, questions, answers, thank-you messages).

How can you make your tone sound less formal?  Try removing ‘legalese’, using simple language, and keeping a more ‘conversational’ tone.  Asking yourself a simple question may also help: ‘Would I say this if I were speaking to the person over the phone?’  Remember: you can be professional and conversational at the same time.
